FMLA tracking is not ordinary PTO tracking
PTO tracking answers how much paid time an employee used. Leave-of-absence tracking must also show what process applies, which notices were sent, what documentation is outstanding, whether absences are continuous or intermittent, how pay and benefits are coordinated, and what must happen before the employee returns.
A spreadsheet can support that workflow, but only if the organization also defines ownership, review frequency, privacy limits, and escalation points.
Core fields for an employer leave tracker
- Employee identifier, work location, department, manager, hire date, status, and schedule
- Request date, first absence date, anticipated return date, and actual return date
- Potential leave types and the basis for each coverage review
- Eligibility review date and the person who completed it
- Notice, certification, response, recertification, and follow-up deadlines
- Continuous or intermittent approval period and usage-recording method
- Disability, paid leave, workers’ compensation, payroll, and benefits coordination
- Accommodation or return-to-work steps requiring separate follow-up
- Next action, owner, due date, case status, and closure audit
Keep medical details out of the main tracker
The tracker should contain enough information to administer the process without repeating diagnoses, treatment details, or medical-document contents. Use limited access, consistent labels, and separate storage for medical information. Managers generally need operational information—such as schedule, restrictions, and approved duration—not the employee’s diagnosis.
Build a weekly audit rhythm
- Review every open case for the next required action and deadline.
- Reconcile manager-reported absences with approved intermittent usage.
- Check outstanding certifications, extensions, and return-to-work information.
- Coordinate payroll, benefits, disability, and workers’ compensation items.
- Escalate potential denials, exhaustion, accommodation questions, and inconsistent records.
- Close completed cases only after the file and system records agree.
Important distinction
A tracker organizes administration. It does not determine legal coverage, replace required notices, or make an individualized accommodation decision.
Start with a complete workflow
The Employer Leave and Accommodation Starter Toolkit includes recommended case-tracking fields and a weekly audit checklist alongside the intake, case-review, accommodation, communication, return-to-work, and implementation tools needed to make the tracker usable.
